Levels of verification

Level 1 — Desk check

  • identity and registration details;
  • status in relevant registers;
  • VAT and bank-account checks where applicable;
  • website, contact and address consistency;
  • supplied documents;
  • visible warning signs and missing information.

Level 2 — Direct verification

Includes Level 1 plus:

  • call with the company;
  • confirmation of key commercial and operational statements;
  • selected reference or document questions;
  • video call or additional evidence where appropriate.

Level 3 — Local visit coordination

Includes agreed desk and direct checks plus:

  • visit to the location;
  • photographs and observations;
  • discussion with the responsible person;
  • confirmation of visible activity, equipment or stock relevant to the brief;
  • coordination of a qualified technical or quality specialist where needed.

Typical report

  • subject and reason for verification;
  • entities and people identified;
  • sources and documents reviewed;
  • material consistencies and inconsistencies;
  • direct-contact findings;
  • visit findings, if included;
  • claims not independently confirmed;
  • open questions;
  • suggested further checks;
  • clear limitations.

Red flags

  • pressure for immediate payment;
  • bank account or entity mismatch;
  • unclear production address;
  • certificates that cannot be linked to the exact entity or scope;
  • changing contact identities;
  • refusal to provide normal commercial information.

A red flag does not automatically prove fraud. Its value is that it tells you what requires clarification before exposure increases.

  • Can you verify certificates? — source and issuer checks where possible; specialist certification review if necessary.
  • Can you check references? — if permission and contact data are available.
  • Can you visit anywhere in Poland? — generally yes; feasibility and travel agreed.
  • Can the supplier remain unaware? — public desk research can be discreet; direct verification and visit are not covert investigations.
